What you share

When you submit an enquiry, we collect your name, venue name and type, email address, venue postcode, requested next step and any message or optional phone number you provide. If you complete the venue-fit check, its answers are included. An advertising campaign name or source may also be included when present in the link you used.

How we use it

We use these details to assess venue suitability, respond to your request and discuss the fragrance-machine partnership. Our legitimate interest is handling the business enquiry you have asked us to follow up. We limit the information to what is useful for that conversation. Submitting does not sign you up to a mailing list or create a trial agreement.

Who can see it

Enquiries are stored in a private inbox accessible to Phil through the website’s owner account. Relevant details may be shared with ScentMatic when needed to assess your venue or progress the partnership you request. We do not sell your details. This website uses ChatGPT Sites and Cloudflare infrastructure for hosting and storage; their services process information needed to operate and protect the site. Provider processing may involve locations outside the UK. Contact Phil for details of the providers and applicable data-transfer arrangements.

How long we keep it

Website enquiry records are kept for up to 12 months and removed during routine inbox and enquiry processing. If you become a venue partner, any records needed for that ongoing relationship are handled separately. You can ask Phil to remove an enquiry sooner.

Security and cookies

Visitors do not need an account to enquire. The owner’s inbox requires sign-in and a separate owner check. The site uses a short-lived, hashed contact and network identifier to limit spam; the original network address is not stored in the enquiry database. The hosting providers may retain essential access and security logs. We have not added advertising pixels, third-party analytics or marketing cookies. Owner sign-in may use essential authentication cookies.

Your choices and rights

You can ask to access or correct your details, request deletion or restriction, or object to how we use them. Contact Phil using the email above; applicable rights depend on the circumstances.
